The fastest way to understand BillForge is to sign in to the demo. It's a full instance seeded with three businesses, dozens of invoices, and real payment history — and it resets every night, so you can't break anything.

When you're ready for your own account, sign up as a business owner. You'll be asked for your name, email, and your business name. That's it — no credit card, no setup call.

BillForge connects to Xero over OAuth. From Integrations, click Connect Xero and approve the permissions in the window that opens. We only ask for what we need — read your unpaid invoices, and write back a payment when one is settled.

Once connected, a background job pulls your invoices in. Nothing else in your Xero ledger is changed. If a sync ever looks stale, you can trigger a fresh one from the Invoices page.

Add your own Stripe and PayPal keys under Integrations. Because the keys are yours, money lands in your account directly — BillForge never sits between you and your cash.

For any invoice, generate a payment link. Your customer opens a branded page and pays by card or PayPal. The moment it clears, the payment is recorded here and the invoice is marked paid back in Xero.

Every synced invoice is passed to Gemini with a strict response schema, so the results always come back structured — never a wall of text we have to guess at.

Three things happen automatically: each invoice gets a category, unusual invoices get flagged against a per-vendor baseline, and overdue invoices get a drafted reminder. Nothing is sent or hidden without you — flags and drafts wait for a human to review.

BillForge has four roles. Owners get the full picture — financials, integrations, and AI insights. Staff can work invoices and reminders but never see payment amounts or your keys. Customers get a portal to pay and download receipts. Platform admins oversee the whole tenant.

You can invite staff from the Team page. Access is enforced in two places: the interface hides what a role shouldn't see, and the API rejects it outright.

Your Xero tokens and payment keys are encrypted in the database, not stored in plain text. They belong to your organization and are never shared across tenants.

Because you bring your own payment credentials, BillForge never holds platform-level payment access — there's simply nothing central for an attacker to drain.
